Challenge:
Founded in 1970 and headquartered in Parsippany, NJ, Langan provides integrated land development engineering and environmental consulting services for private developers, property owners, energy companies, and public sector clients. Langan employs over 1,400 professionals and has 33 regional offices in New Jersey, New York, Pennsylvania, Connecticut, Massachusetts, Illinois, Virginia, Washington, DC, Ohio, Florida, Texas, Arizona, Colorado, Washington, and California. Langan International, the firm’s wholly-owned subsidiary based in New York, provides all technical disciplines from offices in Athens, Calgary, Dubai, London, and Panama.
Traditionally, Langan used Microsoft Excel, SAP, GIS mapping and PowerPoint to manage the business registration and professional licensing requirements across the USA. As the firm grew, the sheer volume of work caused registration and licensing information to be overlooked, resulting in fire drills that needed the immediate attention of a group of people and exposing the firm to risk of falling out of good standing.
In 2017, Langan's internal Risk Management Committee began searching for a better way to manage these important tasks. Rather than waiting to be prompted for a state registration renewal, they searched for a proactive management tool.
Solution:
At an ACEC conference, Langan discovered Harbor Compliance’s purpose-built compliance software and managed services for business entity registrations and professional licensing. After careful investigation they partnered with Harbor Compliance. In one single solution the firm centrally locates and tracks business entity registrations, professional licenses, and renewals for every US state. The comprehensive solution includes Harbor Compliance’s Entity Manager and License Manager software, Registered Agent and Annual Report services, and a dedicated customer success manager to guide them to full utilization of the compliance software.
In the Entity Manager software, a US map provides instant clarity of the registrations and compliance status across all 50 states. The requirements for every state in which Langan operates are pulled into their dashboard with just a click. Renewal reminders for filings and annual reports are automated, ending the fire drills that took up so much valuable time. Langan also selected the Registered Agent service to save time with pre-filled forms, and gain efficiency using the software.
Similarly, the License Manager module shows the professional licensing status for the firm and individual engineers on an interactive USA map. Requirements and renewal reminders for licensing filings are also automated. In addition, Langan can reference the continuing education (CE) requirements for each state and track individual’s CE certificates in the software.
